Conference room procedures and information

Capital Region BOCES has multiple meeting and conference room spaces available for staff and outside organizations to utilize.

 

Procedure for reserving space: Employees

It is easy to view the room availability calendars to see if the room you are looking for is available.

Outlook (Desktop client):

  • Open your calendar page.
  • Click on the "Open Calendar" button that is on the tools ribbon running across the top of the page.
  • In the drop down menu choose "From Room List"
  • Select the room that you would like to view. Please be sure you are looking at the correct calendars. You should choose the calendars that use the current naming structure.
  • For pictures of the conference rooms and equipment instructions, please use the links within the following table.

Please note: The Schoharie Room used to be called the Capital Room and the Schenectady Room used to be called the Board Room.

  • After you have chosen the room you would like to use, click the "Rooms -->" button on the bottom left of the dialogue box and then click the "Add" button.
  • For your information, you can see room set-up and capacity information of our conference and meeting spaces below.

Once you have determined that the space you would like is available, you will then need to fill out the room request form, and return it to Christine McGrath, 518-862-4900. 

  • After you have submitted the room request form, a confirmation will be emailed to you.
  • Requests for audiovisual equipment are included on the room request form.
  • Reservations can be made up to 18 months in advance of your event.
  • A room set-up form will be emailed to you a week before your event.
  • You may cancel your event at any time by emailing Christine.
  • All employees are responsible for cleaning the room and making sure that any food items and garbage are removed. If the room is left in an unacceptable condition, room use privileges may be suspended.

Each side of the building has smaller dedicated meeting rooms available. Please contact Marcia Siver, 518-862-4930 to inquire about Educational Support Services meeting rooms, or Vicky Schweizer, 518-862-4920, to inquire about Management Services meeting rooms.

 

Procedure for reserving space: Outside organizations

Capital Region BOCES conference and meeting spaces are available to outside organizations. Please contact Christine McGrath, 518-862-4900. She will talk with you about your needs and help determine availability of the most appropriate space for your meeting or conference. You can see room set-up and capacity information of our conference and meeting spaces below.

  • Please read the policies guiding usage by outside organizations located on page two of the room request form, which includes information about allowable usage, insurance requirements and requirements for use of our facilities.
  • After making your reservation, a confirmation will be emailed to you. You will then need to fill out the room request form.
  • Reservations can be made up to 12 months in advance of your event.
  • You may cancel your event at any time by emailing Christine.

The Albany Room:

The Albany room is the largest space, and it can be split into three separate rooms or used as one large room.

  • Albany Room 1 - Classroom Style Seating =24, Theater Style =44
  • Albany Room 2 - Classroom Style Seating =16, Theater Style =33
  • Albany Room 3 - Classroom Style Seating =16, Theater Style =33
  • All three rooms: Classroom style =88, Theater Style =150
The schoharie Room:

The Schoharie room can be split into three separate rooms or used as one large room.

  • Schoharie Room 1 - Classroom Style =12, Theater Style =18, U-shape = 12
  • Schoharie Room 2 - Classroom Style =12, Theater Style =18, U-shape = 12
  • Schoharie Room 3 - Classroom Style =24, Theater Style =45, Square = 24
  • All three rooms: Classroom style =60, Theater Style =100
The schenectady Room:

The Schenectady room can be split into three separate rooms or used as one large room.

  • Schenectady Room 1 - Classroom Style =18, Theater Style =30, Square = 20
  • Schenectady Room 2 - Classroom Style =12, Theater Style =20, U-shape = 12

The saratoga Rooms:

Saratoga 1 and 2 both seat 10 in a square shape.
